Privacy Policy

This privacy policy sets out how Networked People Limited (henceforth “Networked”, “we”, “us”) uses and protects any information that you provide to Networked.

For the purposes of data protection, we are the data controller, and we process personal data in accordance with the Data Protection Act 2018 in the UK and the General Data Protection Regulation (EU) 2016/679.  

Networked may change this policy from time to time by updating this page. You should check this page to ensure that you are happy with any changes. This policy is effective from 8th January 2021.

Those to whom this policy applies

We provide executive search services.  This policy applies whether you are a client, a candidate, a source or a referee.

  • a client is any entity or individual that contacts us about or contracts us to undertake executive search services
  • a candidate is an individual who is a potential or confirmed candidate for any current or future piece of work undertaken for a client by Networked
  • a referee is an individual who provides a reference for a candidate
  • a source is a person who provides us with information about a candidate 

What we collect

Candidate data 

We collect data from candidates directly when they send us a CV or equivalent (information such as name, email address, postal address, telephone number, employment history, educational history, professional qualifications, languages spoken, other skills and interests, compensation and benefits). We also collect this type of information when a candidate speaks to a Networked employee.  We will keep a record of our contact with you. We may also collect data from publicly available sources, and third parties such as referees, sources and clients. Our clients may provide us with data about certain candidates in connection with our services.

Client data

We collect data from clients to enable us to discuss and deliver our services. Data includes contact details of individuals employed by clients (such as name, telephone number, email address and job title). We will also keep a record of our contact with you.  We may also collect more information on clients from third party sources. Client data may also include marketing preferences.

Referee data

In taking a reference about a candidate, we may process the contact details of the referee (such as name, email address and telephone number). We may also process the referee’s links to the candidate (such as relationship to and experience with the candidate) and the referee’s professional details (such as job title and employment history).

Source data

From a source we may process contact details (such as name, email address and telephone number), professional details (such as job title and employment history) and the source’s links to the candidate (such as your relationship to and experience with the candidate). We may collect this information from the source, publicly available applications (such as LinkedIn) or from candidates.

What we do with the information we gather

Candidate data

We use candidate data for a number of purposes:

Executive search services – in providing our services to our clients we will: contact candidates about leadership role opportunities; assess candidate suitability for opportunities; process candidate applications received via advertising; send candidate information to clients; and verify candidate information by requesting information from referees or through third party assessment (e.g. psychometric assessment). We may also use candidate data to create anonymised data sets for research and marketing purposes.

Marketing – we may send you information that we think you will find informative (e.g. thought pieces, news, invitations) You may opt out from receipt of these marketing materials at any time by emailing us at info@networkedpeople.com

Equal opportunity monitoring – we may seek consent from candidates to process personal data in respect of certain specific and limited purposes. We will always do this before processing any sensitive personal data: racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, data concerning health or sex life and sexual orientation, genetic and/or biometric data. We encourage candidates not to provide us with sensitive personal data unless it is specifically requested, and we have your consent. 

We will only use candidate information in accordance with this policy, or where we are required or authorised by law to disclose candidate information to others or, have candidate permission to do so. We are not responsible for the data processing activities of others, such as our clients.

Client data

We will use client data to discuss and deliver our services to you and other valid business purposes such as marketing.

Source Data

We use source data to identify information on candidates as part of the executive search services we undertake for clients. We may use source data for marketing purposes.

Referee Data

We will use referee data to obtain the opinions of a referee on a candidate as part of the executive search services we undertake for clients.  We may use source data for marketing purposes.

You have a right to refuse use of these products while working with you, but it may restrict some of the services Networked can offer you.

Sending information to other countries

Personal information may be processed in a country where you do not reside that has privacy laws that may be less stringent than the laws in your country. Where possible, we take steps to treat personal information using the same privacy principles that apply pursuant to the law of the country in which Networked first received your information. By submitting your personal information to us, you agree to the transfer, storage and processing of your information in a country other than your country of residence. Your data protection rights

Information

Networked provides fair processing of information by way of this privacy notice.

Access

You have the right to obtain confirmation as to whether or not we are processing your data and a right to obtain a copy of the data that we hold. This is known as a Subject Access Request. Please contact us at info@networkedpeople.com to make a request.

Rectification 

If any information held is inaccurate or incomplete, you have the right to have that information corrected or deleted, if other parties have been passed the information we will, where possible, inform them of the rectification undertaken. 

Deletion

You have the right for your information to be deleted. We will oblige as long as there are no reasons for us to keep the information. For example, where we have to keep certain pieces of information for minimum periods in line with legislation.

Processing 

You have the right to block or restrict processing. This will not affect the processing done so far but will stop further processing.  For example, if you apply for a role, we will have to keep information on file for a certain period; we can however remove you from all other files if you wish not to be contacted by Networked.

Data portability 

You have the right for your information to be provided in a machine-readable format to enable easy transfer between processors. This right is available to personal data provided by you.

Automated decision making

No automated decisions are made based on the data we collect.

Consent 

Where we process information based on your consent, you have the right to withdraw consent at any time. Please note where you withdraw your consent this will not affect the lawfulness of processing based on consent before its withdrawal nor further processing of the same data under another legal basis.

How long we store your data

How long we store your information depends on the purpose of collection. Internal records will be purged after six years.
